Excel vs. Winery Software: When the Spreadsheet Stops Being Free
Every winery's first inventory system is Excel, and that is correct: at 3 SKUs and one storage room, a spreadsheet is genuinely the right tool. The mistake is not starting with Excel; it is the slow failure to notice when Excel stopped being free. Here is the honest ledger for both sides.
What Excel actually costs a working winery
- Hours. Producers we talk to report 4 to 12 hours a month updating and reconciling inventory sheets. At even a modest labor value, that is €1,500 to €4,000 a year of skilled time spent retyping reality.
- Errors. Peer-reviewed audits of business spreadsheets consistently find errors in the overwhelming majority of them. In inventory terms an error is not a typo, it is an oversold order or a bottling run short on labels.
- The oversell. One confirmed order you cannot fill can cost a wholesale relationship worth thousands a year. This is the catastrophic tail risk of stale numbers, and it is the one producers remember.
- Key-person risk. The sheet only one person understands is a resignation letter away from being hieroglyphics.
What Excel is genuinely good at
- Truly tiny operations. A garage vintage with 3 SKUs and no staff does not need software. The spreadsheet wins on simplicity, and it should.
- Analysis and planning. Costing models, harvest projections, price lists: spreadsheets remain unbeatable for thinking. The failure mode is only using them as a live database shared across people and locations.
- Zero onboarding. Everyone already knows it. That is a real advantage, right up until multiple people edit the same file.
The break-even signals
Switch when any two of these are true: more than one location holds stock, more than two people touch inventory, you run real bottling events, anyone sells from the field, or a compliance or distributor audit is on the horizon. Each of those multiplies the spreadsheet's error surface, and they compound.
The two-week test
You do not have to decide philosophically. Run both in parallel for two weeks: keep the spreadsheet, and mirror the same stock in a system. If live inventory did not save time or catch a discrepancy in a fortnight, go back with a clear conscience. Oenova's free plan exists for exactly this test: 5 SKUs, 2 locations, 2 seats, free indefinitely, no credit card, and your data exports to CSV whenever you want, so the exit door stays open. The spreadsheet will still be there. Most people never open it again.
Run the two-week test yourself.
